JOB SUMMARY:
Program & Events Manager is an FLSA non-exempt position under the Associate Director. This role is considered essential to community engagement and tourism growth and is subject to work weekends, evenings, and holidays as necessary to execute signature programs and community events.
The Program Manager leads the "Destination Development" portfolio, serving as the central hub for community events and the primary link between Visit Alamosa, local businesses, and visitors. This position executes signature programs like First Fridays, manages the event grant program, and ensures the "Alamosa 365" calendar remains the gold standard for local happenings.

Program Development & Event Execution
- Implement Signature Programs: Plan, manage, and execute Visit Alamosa programs including First Fridays (6x/year), and We Love Our National Park.
- On-Site Coordination: Serve as the primary on-site coordinator for all programs, managing day-of operations, troubleshooting, and volunteer/staff direction.
- Logistics Management: Source and coordinate with vendors, entertainers, and partners. Manage timelines, event supply storage, and budgets from start to finish.
- Welcome Center Support: Provide logistical support for workshops, meetings, and specialized programs hosted within the Colorado Welcome Center.
- Partner Event Liaison: Serve as the official Visit Alamosa representative and lead coordinator for partnered community events (e.g., Big Screen on the Green); ensure Visit Alamosa’s contributions are executed and the brand is well-represented.
- On-Site Brand Ambassador: Act as the primary point of contact during partnered events to engage with the public, coordinate with co-organizers, and ensure a seamless experience for attendees.
- Represent Visit Alamosa on external planning committees to align community efforts with destination goals
- Calendar Management: Maintain and oversee the Alamosa 365 Event Calendar, sourcing new events and ensuring the platform is the comprehensive source for visitors and locals.
- Promotion: Coordinate with the marketing team to ensure all events (especially granted events) are promoted across social media, email, and web channels.
- Asset Management: Gather and organize all necessary event information (dates, times, partner logos, high-res photos, and "hook" descriptions) required for the marketing team to build promotional material.
- Supplementary Design: Utilize templates (e.g., Canva) to create quick-turnaround materials or minor updates to existing flyers and social media graphics as needed.
- Collateral Quality Control: Proofread and approve all event-related collateral to ensure accuracy before it is distributed to the public, hotels, or local businesses.
- Distribution: Ensure visitor centers, hotels, and downtown businesses are stocked with up-to-date event materials and posters.
- Business Liaison-Connect local businesses with event opportunities to drive traveler spending and increase foot traffic.
- Reporting: Track event performance, collect feedback, and provide post-event evaluations and ROI reports to measure impact on tourism.
- Primary Point of Contact: Act as the liaison for the Marketing District Event Grant, guiding organizers through the application process and answering inquiries.
- Administrative Support: Process payment requests, reconcile event-related expenses, and manage the communication flow regarding grant approvals and requirements.
REQUIRED QUALIFICATIONS
Knowledge & Qualifications:
- Regional Knowledge: Knowledge of Alamosa and the San Luis Valley’s tourism and seasonal event cycles.
- Digital Platforms: Proficiency in calendar management software, social media, and email marketing best practices.
- Event Logistics & Operations: Understanding of the mechanics behind community events, including vendor sourcing, permitting, site mapping, and safety protocols
- Completion of high school diploma or equivalent
- Valid Colorado Driver’s License required
- Must be able to pass a pre-employment drug screen and background check
- Project Management: Proficiency in managing multiple timelines, from long-term planning for events to daily program updates and communications.
- Communication & Liaison: Strong verbal and written skills for professional correspondence with business owners, event vendors, and grant applicants/event organizers.
- Technical Proficiency: Ability to use Canva for template-based design, Google Drive for collaboration, organization, and management of projects, budget and ROI reporting.
- Self-Motivated with the ability to effectively communicate with team members

- Time management skills to meet required deadlines
- Interpersonal Communication: The ability to build relationships with local business owners, hotel managers, and event organizers.
- Adaptability: The ability to handle "quick-turnaround" requests and minor updates in a fast-paced environment. The ability to remain calm and decisive while managing "day-of" event operations and troubleshooting on-site issues.
- Attention to Detail: A drive for accuracy in data entry, scheduling, and logistical planning.
- Physical Stamina & Flexibility: The ability to work outdoors, assist with event setup/teardown, and work a flexible schedule including evenings and weekends
- Brand Representation: maintain a passionate, positive, and high-energy presence while representing Visit Alamosa to the public and local stakeholders.
- Community Engagement: Experience working with the public, volunteers, or committees a plus
- Experience: Hospitality, event planning, or project management experience a plus.
